Terms and Conditions
Head On Photo Awards 2019

This is an Agreement between a person submitting work to the Head On Photo Awards (Applicant) and Head On Foundation Ltd (ABN 46 127 619 149) (Head On). All Applicants agree to the following Terms and Conditions:

 

A. Introduction

  1. The Head On Photo Awards are competitive photographic prizes across Portrait, Landscape, Mobile and Student categories
  2. Terms and conditions for the Head On Student Prize can be found here
  3. The Head On Photo Awards 2019 in  Portrait, Landscape, Mobile categories are open to Applicants residing anywhere in the world (not restricted to Australia)
  4. Applicants may submit an unlimited number of entries to more than one category
  5. Entry fees for the Head On Portrait, Landscape, Mobile Prizes
    1. AUD$30 (approx. US$21) per image - non-members
    2. AUD$25 (approx. US$18) per image - members – become a member now - see benefits (http://headon.com.au/product/annual-membership)
  6. Images must be produced by a photographic device which captures images (experimental processes welcome), in colour and/or black & white. You may enhance the image and apply filters
  7. There is no time restriction on when an image was made
  8. Applicants may submit images to the Head On Photo Awards that were accepted into Head On Photo Festival as part of an exhibition submission
  9. The artists’ names are removed during judging, so the selection of images is made based on the power of the photograph rather than the celebrity of the subject or photographer
  10. The judges’ decision is final and no correspondence will be entered into
  11. Unsuccessful applicants will not be contacted
  12. Copyright in the images remains the property of the image creator/photographer
  13. The Applicants consent to Head On reproducing the Applicant’s image(s) at no charge in all publicity and promotion of the exhibition and Head On Photo Festival inclusive of all electronic or print media at the discretion of the organisers, to be included in the exhibition catalogue(s) and to be posted on Head On Photo Festival website. Head On will use its best endeavour to maintain the integrity of the work and credit the photographer whenever their work is used
  14. A number of images per category will be selected for printed exhibitions and the creators of these works are the finalists
  15. Prizes will be awarded for three images in each category and the winning finalists will be announced at the Launch of Head On Photo Festival 2019 in May
  16. Personal information collected in the process of submission will be used by Head On to contact applicants and will be handled in accordance with the Privacy Act
  17. Each applicant acknowledges and agrees that as part of the application process he or she will provide personal information (such as names, address, telephone numbers, email addresses)
  18. Head On reserves the right to add the Applicant’s email address to its e-newsletter database in order to maintain contact with the Applicants. An Applicant may opt out of receiving the e-newsletter at any time
  19. The Applicant agrees to indemnify Head On Foundation Ltd and Head On Photo Festival for any possible loss or legal action against it
  20. By entering the Head On Photo Awards you confirm that you are the creator and owner of the work, that you have the permission of the subject or where appropriate the subject's parent or guardian, that the work does not infringe copyright, the image was not taken in circumstances of trespass or invading anyone's legal right of privacy, breach of industrial law or applicable industry code and does not to the best of your knowledge defame anyone nor was your conduct in taking the image likely to be misleading or deceptive and that you agree with the above Terms & Conditions
  21. All terms and conditions may be updated at Head On’s discretion
  22. Head On is entitled to exclude or remove from the 2019 Festival any Applicant who has submitted false information or who does not comply with all terms and conditions set out by Head On

B. Applications

  1. The Head On Photo Awards 2019 (Portrait, Landscape, Mobile) are open to Applicants residing anywhere in the world (not restricted to Australia)
  2. Each Applicant may submit an unlimited number of images to each category
  3. Images can only be submitted online via Head On Photo Festival website
  4. Images submitted must comply with the following:
    1. Taken using a device that captures an image
    2. Entries to the Mobile Prize must have been captured on a mobile device
    3. Resized to 2400 pixels on the widest side (72dpi)
    4. Saved in the native colour space of the device (there is no need to convert to a specific colour space)
    5. Saved in jpg format compression 8
    6. Image title must be added during the submission process
    7. A short description (up to 100 words) added during the submission process
  5. Payment (in Australian dollars) can only be made online via Head On’s secure payment gateway. Please retain your payment receipt details
  6. Entry fee of AU$30 (approximately US$21) per image, discounted to AU$25 (approximately US$18) per image for members is non-refundable. Any entry not accompanied by payment will not be eligible for the competition and/or exhibition. Please print a copy of the receipt as no other tax invoice will be issued. Note: the discount is applied at the end of the checkout process
  7. Deadline for submission Sunday 3 February 2019 11PM (AEDT, Australia time)
  8. All images submitted will be available to the category judges for consideration, however the artist's name will be removed
  9. Non-finalists may be included in a slideshow to be screened during the show electronically
  10. Finalists work will be selected by category judges and Head On Photo Festival Director Moshe Rosenzveig OAM
  11. Head On reserves the right to substitute judges
  12. Successful Applicants will be advised by phone and/or email in February/March 2019 (exact dates TBC) that they have been selected as finalists. If Head On has not received a response to any email or phone message within 5 days of first notification (Australia time), an alternative finalist may be selected
  13. The judges’ decision is final and no correspondence will be entered into
  14. Unsuccessful applicants will not be contacted

C. Head On Portrait Prize

  1. The image must feature or reflect the essence of a person or group of people and must be photographed by the Applicant
  2. Group portraits, self-portraits and collages will be accepted
  3. The judges will be looking for portraits of high technical quality which demonstrate a high level of engagement with the subject/s and invoke a high level of engagement with the viewer

D. Head On Landscape Prize

  1. Head On’s approach to ‘Landscape’ is very broad and encompasses ‘large vista’ images of the natural environment (land or sea), urban or industrial settings. It may include people but these should be ‘incidental’ rather than the main subject matter
  2. An additional prize, the ‘NSW Parliament Prize’ will be awarded for the best image depicting scenes from New South Wales. This is an acquisitive prize and the print of the winning image will be retained by NSW Parliament to use and display for the current and future benefit of the people of New South Wales
  3. Other prizes may be added at the discretion of Head On
  4. The Head On Landscape Prize 2019 will be shown at NSW Parliament House, Sydney

E. Head On Mobile Prize

  1. Images submitted can be of any subject matter and any style as long as they were captured on a mobile device
  2. The judges will be looking for photographs of high technical quality that invoke a high level of engagement with the viewer

F. Finalists and exhibitions

  1. The finalists will be advised by phone and/or email in February/March 2019 (exact date TBC)
  2. If Head On has not received a response to any email or phone message within 5 days of notification (AEDT), an alternative finalist may be selected
  3. Confirmation for finalists is dependent on the quality of the high-resolution file. Finalists will be required to upload a high- resolution file and final text as specified below to the Head On server in March 2019 (exact date TBC). Failure to do so may result in forfeiting the finalist’s inclusion in the exhibition
  4. Specifications for uploading the high-resolution file are as follows:
    1. The image should be:
      • - The largest original size. Do NOT upsize through Photoshop
      • - WITHOUT borders (no surrounding black or white)
      • - In Adobe RGB 1998 colour space
      • - Saved in 8 bit (not 16 bit)
      • - Saved as JPG compression level 12
      • - Named with your First_Name_Surname_Catagory_ImageTitle.jpg (eg. John_Smith_Portrait_MonaLisa.jpg)
    2. The image should be uploaded as follows:
      • - Uploaded using www.wetransfer.com (http://www.wetransfer.com) with the provided email address in the ‘To’ field
      • - Have your First Name, Last Name and Category in the ‘Subject’ field
      • - Put the image title in the ‘Enter Message’ field (and any other info you wish to include
  5. Finalists will provide the images and information according to the timeline set out in Appendix A
  6. Finalists will be responsible for providing Head On with current/updated information to Head On such as names and contact details of artist/s

G. Exhibiting

  1. The final selection of images will be exhibited during Head On Photo Festival 2019 and may tour Australia and internationally at no extra cost to finalists
  2. Exhibition and promotion costs will be covered by Head On Photo Festival
  3. Head On manages all printing and production and Head On Photo Festival Creative Director Moshe Rosenzveig OAM will lead the curation
  4. Exhibited work can be made available for sale during and post-festival – artists will receive proceeds and Head On will receive a commission under terms to be negotiated with the finalists
  5. Head On will retain finalists’ prints for a period of 5 years and may exhibit in retrospective shows during that time. At the end of this period the prints will be destroyed other than the winners’ prints
  6. Head On will endeavour to notify artists whenever their work has been selected for exhibitions post-festival
  7. Head On will exercise all reasonable care with the works submitted but will not be responsible for any loss or damage while in its custody or in transit or being transferred or reproduced by any means including digital copying and on-line transmission
  8. If due to unforeseen circumstances, Head On Photo Festival 2019 does not take place as scheduled, alternative measures for the Head On Photo Awards exhibitions may be arranged

H. Prize-winning images

  1. Prizes will be awarded for the best 3 images in each category and the exhibition prints of these will be retained by Head On Foundation and added to the ‘Head On Collection’ which contains the winners of Head On Photo Awards
  2. Winners will share a prize pool worth more than $50,000 - a complete list of prizes will be announced shortly
  3. The allocation of prizes will be as determined by the judges and no correspondence will be entered into
  4. Winners will be announced in Sydney on Friday 3 May 2019 at the Launch of Head On Photo Festival 2019 and will be notified as soon as possible after the announcement
  5. The three winning photographic prints of each category will be retained by Head On Foundation and added to ‘Head On Collection’
  6. The winning photographic prints of the ‘NSW Parliament Prizes’ will be retained by NSW Parliament to use and display for the current and future benefit of the people of New South Wales
  7. The first prize-winner in each category and the winner of the NSW Parliament Prizes are responsible for providing an invoice and details of their bank account so that Head On can make payment to them. In the event that the first prize winner fails to provide this information and an invoice within three months of receiving a request by Head On to provide this information they forfeit their entitlement to the prize money
  8. The second and third prize-winners in each category are responsible for providing Head On a mailing address for the goods to be sent to. In the event this information is not provided within three months of receiving a request by Head On to provide this information they forfeit their entitlement to the prize
  9. Head On will cover the administrative costs of preparing the prizes for distribution to the winners
  10. Winners will cover the costs of distributing their prizes including shipping, insurance, applicable taxes (e.g. import duties) and any related bank fees

I. Promotion

  1. Head On promotes the Head On Photo Awards exhibitions through various channels (see Appendix B) at no extra cost to finalists
  2. Finalists agree that their images may be reproduced in any marketing and promotion of their work and of Head On Photo Festival and included in the festival’s printed program, exhibition catalogue(s), limited edition postcards and on the Head On Photo Festival website. Such use may be in any media whatsoever
  3. Head On Photo Festival will use its best endeavours to credit the photographer whenever their image is used. Head On Photo Festival will endeavour not to crop images whenever these images are used
  4. Finalists will not be announced before the opening of the exhibition
  5. Finalists must not promote the image selected for the Head On Photo Awards before the opening of the Head On Photo Awards exhibitions
  6. Finalists may however, promote themselves as being finalists when Head On confirms their inclusion
  7. Publicity including media releases must be coordinated with Head On
